Purpose of the role
- Maintain and improve internal processes that support senior executives across the entire company, and coordinate internal and external resources to speed up workflows.
- Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are meet and that operations run efficiently.
- You can handle staff interaction by coordinating with internal and external leaders on various tasks and initiatives. To satisfy the demands of senior leaders, achieve organizational goals, and maintain best practices, plan and organize tasks.
Key responsibilities
- Coordinate the CEO’s work and personal schedules, including agendas, correspondence, phone calls, customer administration, and other business operations
- Manage complicated schedules and calendars, as well as the information flow and material for top executives.
- Perform secretarial and office support tasks like typing, dictation, document construction, faxing, and contact database upkeep.
- Plan team meetings and activities, both on-site and off-site, and uphold stringent secrecy and professionalism with all materials.
Required skills and qualifications
- Five to seven years of experience in an administrative role reporting directly to upper management
- Excellent written and verbal communication skills
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- Ability to maintain confidentiality of information related to the company and its employees
Preferred skills and qualifications
- Experience in overseeing budgets and expenses
- Experience in developing internal processes and filing systems
