POSITION SUMMARY:
Under the direct supervision of the Sourcing and Warehouse Manager, the Contract Administration Officer, is responsible for preparing, examining, and revising contracts that involve the purchase of goods, consultancy services, non-consultancy services and works.
S/he will also be reviewing, documenting and recording the contract related files going through National/ International Competitive Bid, Request for Quotation and Direct Procurement.
ESSENTIAL DUTIES:
· Perform necessary research and prepare all documentation for reminders, warning letters, and the termination of contracts for convenience of the Company or default by the Contracting party.
· Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules.
· Ensure that all records are accurate and up to date
· Write contract letters and other communications and notices
· Create regular status reports regarding progress on projects
· Administer contracts to ensure compliance and maintain performance guarantee is valid and minimizes risk of HCSC
· Analyze contracts to ensure they comply with state and federal laws and regulations
Qualifications for Contract Administrator
. BA/BSC degree Management, Business Administration, Law or related fields with two (2+) years of demonstrated experience.
· Exemplifies knowledge of contract law, accounting principles and finance
· Has strong negotiation skills
· Possesses attention to detail in order to spot inconsistencies in contracts
· Has strong communication skills
· Able to work productively independently and as part of a team
· Must have excellent analytical thinking skills and problem solving abilities
· Should exhibit strong organizational and time management abilities
