Job Summary:
The role holder is a friendly, poised, professional, detail oriented and organized business support associate. The role holder will be the first point of contact for our company, greeting visitors, answering phone calls, and providing administrative support across all departments of the Exchange.
Key Responsibilities:
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Secretarial assignments include such duties as office coordination, scheduling meetings, preparing and maintaining office records, reports, and correspondence.
- Sorts, opens, and distributes incoming mail to staff; associates incoming correspondence with files or related materials needed for meetings, correspondence, and reports.
- Works in a professional and focused manner to schedule internal and external meetings.
- Writes error-free, eloquent emails and letters for various events and announcements.
- Provide basic and accurate information in-person and via phone/emails.
- Ensure reception area is tidy and presentable, with all necessary equipment.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Perform other clerical duties such as filing, photocopying, and transcribing.
- Uphold confidentiality and discretion when handling sensitive information.
- Determines needs and orders office supplies, equipment, repair and maintenance services of office electronics, furniture & equipment.
Work Relationship
- Internal: Corporate Service Analyst, Executive Secretary, Human Resources
- External: Guests, visitors, vendors.
Qualifications:
- BSC degree/Diploma in secretarial science, office management, administrative service management or other relevant fields of study.
- Minimum of two years hands-on experience.
- Previous experience as a receptionist/Administrative assistant, office manager or in a similar customer-facing role, preferably in a corporate environment or financial institution.
Skills:
- Excellent interpersonal and communication skills, both verbal and written
- Strong organizational abilities with a keen attention to detail
- Proficiency in Microsoft office and familiarity with office equipment
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Professional demeanor and appearance
- Knowledge of financial terminologies is a plus.
Language requirements:
- Fluency in English and Amharic
