BASIC FUNCTIONS
The Director of Operations is responsible for ensuring the effective and efficient functioning and delivery of services related to Procurement & Supply Chain
Management; Admissions and Records; ICT as well as the management of projects in FIS; Establish policies, procedures and guidelines in relation to these four functions and ensure implementation; develop systems, processes including automation to ensure timely delivery of services; Coordinate with all concerned sections and stakeholders to provide effective service in these areas. Set KPI’s for all areas, monitor, evaluate and rate as appropriate.
I. Project Management
1. Ensures all requirements are completed at the initiation of projects;
2. Assists as required in bid or related selection process for project;
3. Provides all support required; give input as and when required;
4. Conducts continued follow up;
5. Provides regular updates and progress reports to all concerned;
6. Ensures timeliness of completion of each phase;
7. Ensures proper handover and management of post project/closing
requirements.
II. Procurement & Supply Chain Management
1. Assists in the development of systems and processes for timeliness of
service;
2. Monitors internal customer satisfaction;
3. Provides support as and when necessary;
4. Evaluates the effectiveness of services;
5. Takes corrective action as required;
6. Continuously improves processes to ensure high customer satisfaction.
7. Ensures delivery of the requested to the requesting items in a timely manner
III. Admissions and Records
1. Develops policies, procedures and systems in relation to Admissions &
Records activities;
2. Ensures implementation of same;
3. Monitors and evaluates provision of Admissions and records service;
4. Takes corrective action as required.
5. Continuously improves processes to ensure high customer satisfaction
6. Prepares and issues school fee term invoices as per school calendar.
7. Ensures delivery of parent request in a timely manner
IV. Information Communication Technology (ICT)
1. Ensures the development of policies, procedures and systems in relation to ICT activities;
2. Ensures implementation of same;
3. Monitors and evaluates provision of ICT service;
4. Takes corrective action as required;
5. Continuously improves processes to ensure high customer satisfaction.
6. Oversees appropriate back up is retained in a safe manner
V. Performance Management
1. Sets KPI for all staff directly reporting to him/her;
2. Monitors performance of each staff;
3. Provides regular feedback and support for continuous improvement;
4. Rates as per policy requirement;
5. Completes evaluation as required by policy.
Qualification Requirement for the role.
1. Education:
-A bachelor’s degree in business administration, operations management, or a related
field is required.
– A master’s degree in a relevant field is preferred but not mandatory.
2. Experience:
– Minimum of 8-10 years of progressive experience in operations management,
preferably in a similar industry.
– Proven track record of successfully managing and leading operational teams.
– Experience in strategic planning, budgeting, and resource allocation.
– Familiarity with process improvement methodologies such as Lean Six Sigma is highly desirable.
3. Leadership Skills:
– Strong leadership abilities with the ability to inspire and motivate teams.
– Excellent communication and interpersonal skills to effectively collaborate with
cross-functional teams and stakeholders.
– Demonstrated ability to make sound decisions under pressure and in complex situations.
– Proven experience in managing and developing high-performing teams.
4. Technical Skills:
– In-depth knowledge of operational processes, supply chain management, and logistics.
– Proficiency in using relevant software and tools for data analysis, reporting, and
project management.
– Familiarity with industry-specific regulations and compliance requirements.
– Strong analytical and problem-solving skills to identify operational inefficiencies and
implement effective solutions.

– Ability to develop and execute operational strategies aligned with the company's
goals and objectives.
– Experience in identifying and implementing process improvements to enhance
efficiency and productivity.
– Proven ability to analyze market trends, anticipates operational challenges, and
develops proactive solutions.

– Demonstrated ability to thrive in a fast-paced and dynamic environment.
– Flexibility to adapt to changing priorities and business needs.
