Project Overview:

Mr Stanley Eisenberg Girls’ Support Education Project is an individual-funded project implemented by Pathfinder International in 67 High Schools and 14 Universities in Eight regions and one city administration namely, Tigray, Amhara, Oromia, Central Ethiopia, South Ethiopia, Sidama, Afar, Somalia regional states and Addis Ababa. It is a smart investment aimed at empowering needy high school and university student girls to continue their education and become better citizens. The support has multiple activities targeting different monthly stipend and SRH training for High School and University beneficiaries and gardening for High Schools and nearby YFS providing health facilities.

Summary of Role: 

Under the guidance and close supervision PLM/TD, the Admin and Program Assistant – will provide administrative and program support for different PI projects. S/he will work with all team members working in different areas, and projects including technical advisory, finance and administration, and logistics and procurement. She/he will be responsible for facilitating monthly stipend and related activities for beneficiary girls’ of Mr Stanley Girls’ Education Support Project. S/he will also be responsible for organizing, arranging, and facilitating office activities as center of information. Receive guests, type letters and reports, handles in-coming and outgoing communications to the concerned person(s) or departments, and oversees the organization’s filing, documentation, and communications systems.

Reports to: Procurement & Logistics Manager/Technical Director

Key Responsibilities:

Administrative support

  • Handle all incoming and outgoing communications including mails, letters, postal and fax correspondence and direct to the right person or department.
  • Work closely with the procurement and logistics team to handle travel arrangements (vehicle, air tickets, and Visa).
  • Operates the telephone switchboard and receives and reply telephone messages in a professional manner.
  • Maintain an effective record and filing system for project activities, correspondence, and documents for quick and easy reference.
  • Take lead on compiling support materials and presentations, documenting proceedings, and taking minutes
  • Participation and support in cross-functional project teams including Pathfinder Finance and procurement and other technical teams and projects.
  • Perform other duties as may be requested by the supervisor and the management.

Program support

  • Transfer monthly stipend to high school and university beneficiary girls of Mr Stanley Girls Education Support Project.
  • Facilitate training to beneficiary girls of Mr Stanley Girls Education Support project.
  • Develop biannual and annual report on Mr Stanley Girls’ Education Support Project
  • Assist with organizing trainings and workshops, ensuring that venues are appropriate and booked and that lodging for participants and facilitators are secured.
  • Lends administrative support to program staff’s efforts to prepare presentations, conference papers and papers for publication.
  • Assist in the preparation, printing, and distribution of different project documents, including manuals, curricula, guidelines, and reports.
  • Support in write-up of different project proceedings and success stories.

Required Education and Work Experience:

  • BA degree in management, business administration, or other related social science fields.
  • Minimum of three years of experience in related fields and experience in NGO will be an advantage.

Preferred Education and Work Experience:

  • Must demonstrate strong interest and commitment to family planning and maternal and child health services and the eradication of harmful traditional practices.
  • Must have a working knowledge of modern office equipment and should be able to work with minimum supervision.
  • Must have a solid judgment, critical thinking, ability to solve problems and multitask.
  • Ability to work as part of a team.
  • Skills and experience in computer applications and utilization of Microsoft Office (Word, Excel, and PowerPoint) are mandatory.
  • Strong communication and interpersonal skills is a must.
  • Must have demonstrable personal integrity and honesty and must have strong people skills.
  • Must have strong writing and communication skills both in Amharic and English.
