- Maintain a record of the incoming files in the company and store them properly using suitable and appropriate reference codes.
- Classify files, depending on their content and purpose, before filing
- Photocopying, scanning, labeling, sorting, and filing incoming documents
- Maintain an indexed record of the location of the files on a computer system for easy access.
- Conduct a periodic inspection of the logs of files available and eliminate or move unwanted and old documents to other places.
- Make necessary changes to the existing file management system to match the current requirements of the company
- Place and keep up-to-date a master list of archived files
- Keep logs of paperwork for original documents that are detached from the folder
- Conduct confidentiality and safety checks on the files and make sure that nobody is making illegal use of the information available with the company and that the files are not handed to any unauthorized persons
- Tracking document movement by numbering and filing incoming and outgoing letters and other documents
- Locating and providing documents to authorized employees when needed for work purposes
- Updating document index
- Ensuring that authorized personnel only access the company documents
- Responsible for ensuring all project documents and records are maintained;
- Perform other related tasks and functions
- Advanced level of English
- Ability to multitask, prioritize, and manage time efficiently
- Minimum of one year Data Management or transferable skills and related experience
- Bachelors degree preferred
- Exceptional organizational skills
- Ability to drive the archive process from start to finish
- Proficient in Microsoft Office applications and Adobe Acrobat
- Ability to manage multiple priorities and to switch focus seamlessly
- Excellent communication skills and the ability to work well with others
- A commitment to meet deadlines with a keen focus on details
