Job Summary:

The main purpose of this job is to support the proper implementation of IMC HR and Administration guidelines and policies specifically in addressing the field Human Resource and Administration needs in Gambella office.

The holder of this post will also be responsible to handle a range of activities in the management of employment contract, annual leave, R and R, staff annual leave, etc in the field office.

The holder of this post is also responsible for work in camp supervision and management. He/she is expected to work in the coordination of food service like food hygiene, food supply and storage, compound hygiene and sanitation improvement and in other compound and staff related issues. The Manager will work very closely with other departments in the field office in particular with HR and Admin Department in Addis, manages the performance of the field office HR/Admin department staff. 

 

 

 

Job Responsibility 

·                Ensure  the reviewing of JDs for vacancies before posting and also participate on  the selection and recruitment process for vacancies.

·                Liaise with the Senior HR/admin Officer at Gambella FO and Addis HR and Admin Department in processing new employment contracts or amendments for renewal/ title change/salary change in Gambella Program office and submit to HR and Admin Department in Addis Ababa for approval.

 

·                Follow up implemented tracking sheet for recruitment and pass to those concerned periodically

 

·                Coordinate the monthly payroll data submitting to direct supervisor and Addis HR and Admin Department through checking staff leave as per the policy and procedures.

·                Support the coordination of staff Performance Appraisal in the field office as per the requirements of IMC.

·                Coordinate the submission and follow up of staff’s medical reimbursement claim to HR & Admin in Addis Ababa and keep record of the same.

·                Coordinate the timely collection of international and national staff timesheets by end of each month and submit to HR & Admin in Addis Ababa for review.

·                Follow the oreder of Supervisor  the arrangement of accommodation for IMC’s staff and other guests in Gambella field office.

·                Coordinate and follow up the provision of ID cards to new staff in field office through working with Addis HR and Admin Department.

·                Accept the order from direct supervisor to Control the proper arrangement of all the paperwork for new employment in gambella project office and submit to HR in Addis Ababa.

 

·                Actively arrange the staff documentation and Follow up the maintenance of staff personnel files for IMC Gambella national staff.

 

·                Coordinate the induction of new staff in the field office through working as one team with Addis HR and Admin Department.

 

·                ·Ensure the provision of office administration functions including scanning,  photocopying, etc to the field office work units.

 

·                Report to  the field office Supervisor the  staff annual leaves (annual, sick and R & R) as per the HR manual of IMC and report to HR and Admin in Addis Ababa on monthly basis.

 

·                Responsible for tracking the due dates and collecting monthly bills for the office and guest house utilities (electricity, water and telephone) and submit the summary to finance department for the payment.

 

·                Works as focal person for the field office with respect to HR policy and procedure of the organization.

 

·                Work in charge of: Compound Beautification, Guest Accommodation, Camp Hygiene/Sanitation, Food and Water Services coordination, Providing Care and Support Service for Staff, in managing the field office Equipments related to this role and Supervise  the performance of the HR and Admin department and produce report periodically.

·            Travel to camps as required.

·            Perform any other related duties assigned by the supervisor

Job Requirement

Education:

§   Bachelor Degree in Business Management/HRM, Law or related field.

Experience:

§  Above three years or more work experience in related field or relevant area.  2 years Work experience in similar position  working in a refugee set up is an advantage.

§  Good command of English language, verbal and written.

§  Computer skill is compulsory.

§  Knowledge of local language is a plus
