It was established on October 27, 1997 as local NGO and registered with the Democratic Republic of Ethiopia, Ministry of Justice with major objective of combating the spread of HIV/AIDS. The organization was re-registered with the Federal Charities and Societies Agency in October 2009 with reg. number 0088 as per the new CSO legislation 621/2009.

Job summary 

The Operation Director under the supervision of Executive director will be a member of ISHDO senior management team and is responsible for the overall ISHDO Operations (Grant and Finance, Logistics, procurement).

The position holder is responsible to lead and monitor routine operations activity and ensure inter-departmental collaboration and ensure efficient and timely completion of tasks to contribute the strategic goals of organization and donor funded projects.

The position holder ensures all operations supply chain management and finance operations are executed as per ISHDO policies, guidelines and in line with donor rules and regulations.  

The Operations Director ensures that administrative departments are successfully managed and provides operations support as required. The Operations Director is responsible for training and mentoring staff on policies and procedures, donor regulations, new systems, and financial best practices as well as working closely with Chief of Party and Program Directors. 

Job responsibilities

  • Act as a key member of the senior management team, working closely with the Executive Director, chief of party, Program Directors and others managers to define and implement ISHDO’s strategic plan.
  • Play a visible leadership role in ISHDO and participate actively in meetings of the senior management and leadership teams.
  • Lead and support the operational aspect in the delivery of ISHDO   strategy and key objectives within our organizational development plan.
  • Lead in ensuring the effective operations (grants and finance, procurement, logistics of ISHDO in line with ISHDO policies and values, and strategies)
  • Initiate, develop, maintain, and revise policies and procedures for the general operation of the finance and grants, procurement and logistics and its related activities and to promote cost efficiency and compliance with all rules and regulations.
  • Build and maintain relationships with all department heads, external partners, donors and vendors to make decisions regarding operational activity and strategic goals
  • Ensure organization policies and standards, legislative regulations and donor rules and regulations are followed.
  • Work closely with human resources to lead team with integrity and establish and maintain a trusting, inclusive, and productive environment
  • Oversee and be responsible for all business planning, budgeting and forecasting processes.
  • Collaborate with the Executive Director and Program Directors to build systems and processes in operation to contribute to successful strategic plan implementation and communicate all topline recurring indicators of success and that explain and troubleshoot any major outliers or obstacles to success
  • Manage all operations staff members including finance, procurement, logistics and other cross-functional teams.
  • Provide structured evaluations of employee performance and promote a collaborative and transparent environment in line with ISHDO values
  • Take lead responsibility for communicating financial performance to the board, its committees, as well as to staff and stakeholders.
  • Be responsible for overall workforce planning and adapting this in line with ISHDO strategy.
  • Ensure that ISHDO fundraising pipeline is proactively managed and information flows between the finance and fundraising teams are sound. 
  •  Ensure funds expended are compliant with Donor regulations and local laws and legislations.

    Perform other duties as assigned by supervisor.

    Reports to: Executive Director   

    • MA/ BA in Business Administration, Finance or Accounting or equivalent
    • 10+ years progressive experience at senior leadership role in the appropriate field in NGO setting
    • At least four (4) years’ experience in financial compliance and progressive supervisory work experience directly supervising administrative, finance, and/or operations staff.
    • Demonstrable experience with management and/or administration for USAID projects, including experience managing sub-awards.
    • Superior knowledge of multiple operational functions and principles, including finance, grants, logistics, procurement  and employee management
    • Proven ability to plan and manage operational process for maximum efficiency and productivity
    • Ability to streamline and implement new structures and roles that create speed, efficiency, and support rapidly shifting business demands
    • Strong working knowledge of industry regulations and legislative guidelines
    • Strong interpersonal skills and positive professional attitude
    • Good computer skills; MS Excel, Word, Power Point and Outlook
    • Skills on Web Conferencing Applications, information management systems
