Hence, Kegna Beverages SC would like to invite competent and qualified candidates to apply for the following positions to be hired on permanent basis:

Position Summary: the Executive Assistant will provide professional and administrative assistance to the Managing Director (MD); set appointments, dairy and daily schedule for the MD, facilitate different meetings, organize documentations, manage office and secretarial duties, being center of contact for the MD office.

Roles and Responsibilities: 

  • Plan & organize the clerical activities of the Managing Director’s office and carry out administrative functions as required.
  • Set appointments for the Managing Director (MD) and manage his/her diary.  Keep the MD informed of his/her daily schedule and review the same with him/her on a regular basis.
  • Manage the MD’s travel arrangements in coordination with relevant units; including flight /vehicle booking, hotel booking, expense claims and following up to ensure, necessary visas, security clearances and other requirements are obtained for local and international travels.
  • Receive and handle visitors, provide appropriate information to enquiries and arranges appointments and meetings or organize workshops as appropriate.
  • Arrange & facilitate venues and logistics required for management meetings, Board meetings, partner meetings and other meetings as required.
  • Handle communications including answering and making calls, type and compose letters, memos, emails, register and distribute incoming /outgoing correspondences, keep complete & update important contacts of customers, partners and stakeholders.
  • Provide full secretarial and administrative support service to the Managing director
  • Write reports and routine correspondence from dictation or written sources
  • Respond to all incoming calls, email, fax and face to face inquiries appropriately.
  • Draft routine correspondence for approval and signature by the Managing director
  • Maintain the Managing director office filing system and all high-level company records in confidential, safe and secured custody.
  • Ensure proper management & safe custody of both soft & hard copy of important and confidential documents of the organization.
  • Manage and follow up the settlement of different bills monthly; and oversee the general cleanliness, maintenance and security of the MD office.
  • Organize purchase of office supplies required for office.
  • Receive, sort and distribute mail;
  • Manage administrative duties i.e., filling, typing, copying, binding and scanning;
  • Coordinate printing of business cards and staff ID cards;
  • Coordinate with seniors to organize training;
  • Perform other duties assigned to her by the immediate supervisor

Qualification and Experience Required

  • BA Degree in Secretarial Science and Office Management (SSOM), Business Administration, IT and any related fields.
  • 5 years and above related experience; as Executive Assistant or office administrator or Front Desk Executive or related.
  • Ability to handle confidential information with care.
  • Excellent communication skills.
  • Fluency in English, Afaan Oromoo & Amharic is required.
